Privacy Policy

1. Data Collection & Storage

Seize collects and stores the following information only when you actively configure features or interact with the bot:

1.1 Server Configuration Data

When server administrators enable features, we store:

• Guild IDs - Your server identifier (required for server-specific settings)
• Channel IDs - Text and voice channel identifiers you designate
• Role IDs - Discord role identifiers for role-related features
• User IDs - Discord user identifiers for member-specific tracking
• Custom Settings - Feature-specific configurations you create (thresholds, messages, colors, etc.)

1.2 Moderation & Security Logs

When enabled by administrators:

• Warnings - User ID, moderator ID, reason, timestamp, and warning ID
• Bans/Tempbans - User ID, reason, expiration times
• Audit Logs - Member joins, leaves, role changes, nickname changes
• Message Logs - Deleted/edited message content, author info, timestamps (stored in webhooks)
• Antilink Activity - Links posted and enforcement actions taken
• Anti-Raid Data - Suspicious join patterns, account age checks, actions taken

1.3 User Interaction Data

Only collected when users actively use features:

• XP/Leveling - User ID, guild ID, experience points, level, message activity timestamps
• Rank Data - Per-guild rank position and progression
• Diary Entries - Personal text entries users voluntarily submit
• Marriage Data - User IDs of paired users, marriage date
• Last.fm Listening - Spotify/Last.fm username, artist plays, favorite artists (linked by user choice)
• Timezone Info - User ID and preferred timezone
• User History - Previous usernames and avatars with change timestamps
• AFK Status - Reason and timestamp when user sets AFK

1.4 Server Features Data

When configured:

• Welcome/Goodbye Messages - Custom message templates and target channels
• Starboard - Starred message IDs, reaction counts, thresholds
• Giveaways - Prize info, winners, entry data, host ID
• Tickets - Ticket channel IDs, support role IDs, author/claimer IDs
• Auto-Roles - Roles assigned to new members, bot members
• Custom Aliases - Server-specific command shortcuts
• Booster Roles - Custom role data, user IDs, role colors
• Vanity Strings - Status keywords that grant roles
• Voice Channels - Temporary voice channel owners and configurations
• Activity Tracking - Daily message counts, voice time, reaction counts
• Server Snapshots - Captured channel names, types, positions, permission overwrites, role names, colors, permissions, and hierarchy, stored to support server structure restoration. Retained until the user deletes the snapshot.

1.5 Premium & User Settings

For premium features:

• Premium Guild/User Status - Grant date and active features
• Custom Embed Colors - User-selected hex colors
• Footer Text & Icons - Customizations for embeds

1.6 Preference Data

Optional user preferences:

• Custom Prefix - Personal command prefix for the user
• Guild Prefix - Guild-specific command prefix
• Blacklist Status - User/guild blacklist entries with reason and timestamp
• Ignored Users - Users excluded from specific systems

1.7 Search & Discovery

Last.fm Integration:

• Last.fm username linked to Discord user
• Artist plays and listening history (via Last.fm API)
• Custom Last.fm templates and display preferences
• Hidden users (privacy setting within guilds)

2. How Data is Used

Data is used exclusively for:

Feature Operation

• Providing the bot's commands and services
• Managing guild configurations and settings
• Enforcing moderation rules and security systems
• Tracking member progression in leveling systems
• Storing audit logs for transparency

User Personalization

• Remembering custom settings and preferences
• Displaying XP/rank information
• Showing personalized Last.fm statistics
• Creating automatic role assignments

Security & Safety

• Detecting and preventing raids/spam
• Enforcing antilink rules
• Maintaining audit trails for moderation actions
• Blacklist/whitelist enforcement

Performance & Reliability

• Ensuring the bot functions correctly
• Troubleshooting issues and errors
• Optimizing database queries

3. What Seize Does NOT Do

• No Data Selling - We never sell, trade, or rent your data to third parties
• No External Tracking - We don't track you across the web or use pixels/analytics on Discord
• No Unnecessary Logging - We don't log every message, only what's explicitly configured
• No Surveillance - We don't monitor conversations unless you enable specific logging features
• No Profiling - We don't build behavioral profiles or sell targeting data
• No Integration Tracking - When you link external services (Last.fm, Spotify), only the credentials you provide are stored; we don't access your account without permission

4. Data Access & Retention

Who Can Access Your Data?

• Guild Administrators - Can view moderation logs, configuration settings, and member data within their guild
• Seize Bot - Access for operational purposes only
• Database Administrators - Seize development team (emergency maintenance only)

Data Retention

Data is stored indefinitely until deleted by:

• Guild owner/admin (via commands like logs remove, levels reset)
• The user (for personal data via DMs)
• Automatic cleanup when a guild leaves the bot

Snipe Data (deleted messages) is kept temporarily and automatically rotated/removed.

5. Third-Party Services

Integrations:

• Discord API - Bot operation and authentication
• Last.fm API - Listening statistics (optional, user-initiated link)
• Spotify API - Music data for Last.fm integration (optional)
• Lavalink - Audio streaming for music features
• FastAPI - Internal API for web dashboard (if enabled)
• api.navy - Powers AI-based commands (chat, generation, etc.). Message content submitted to these commands is sent to api.navy to generate a response. We do not independently retain this content after the response is returned. Refer to api.navy's own policy for how they handle data on their end.

None of these services store your data with Seize—they store it according to their own privacy policies.

6. Data Security

Measures Taken:

• Database Security - PostgreSQL database with password authentication, isolated network access
• Environment Variables - Bot token stored in .env file (never hardcoded), database credentials encrypted and not exposed in code
• API Security - Uvicorn web server with standard security practices, no sensitive data exposed in logs
• Code Privacy - Proprietary License prevents unauthorized use, all data handling reviewed in code

Limitations:

• Discord's Security - Your data on Discord's servers is subject to Discord's privacy policy
• Self-Hosted Risk - If you run Seize yourself, security depends on your setup

7. Your Rights

You Have the Right To:

• Access - Ask what data we store about you (contact via support server)
• Delete - Remove your personal data via commands (levels reset, rank removal, etc.)
• Opt-Out - Disable features to prevent data collection
• Export - Request raw data exports in machine-readable format
• Correction - Update incorrect information (custom settings, preferences)

Seize is designed for Discord users aged 13+ (Discord's minimum age).

If you believe a child under 13 is using Seize:

• Their data is subject to the same protections
• Parents/guardians can request data deletion
• Contact support for COPPA-related concerns

10. GDPR & Data Protection

GDPR Compliance:

• Legal Basis - Consent (users enable features), Contract (bot functionality), Legitimate Interest (security)
• Data Minimization - Only collect what's necessary
• Retention Limits - Data kept only as long as needed
• Right to Access - Users can request all stored data
• Right to Erasure - Users can request deletion (within technical limits)

EU Users:

• All data handling complies with GDPR
• Data processing agreements available on request

11. Changes to This Policy

Seize may update this privacy policy to reflect:

• New features and data collection
• Legal requirements
• Security improvements

• Support server announcements
• Bot command notices (if major changes)
